Communication builds the trust required to form a strong and successful relationship with clients. That said, I have created a high-level communication management plan that includes being able to effectively listen to client’s requirements, act on feedback, present the issues and foster harmony on the whole.
The initial priority is to understand the client’s project requirements to plan and then move ahead for development. I analyze, research, and design the workflow to understand the requirements and scope of the project.
Following the project agreement, kickoff meetings with the clients are scheduled to discuss key project deliverables, the procedure to be followed, project scope, time involvement, resource billing and payment procedures.
From the inception day, I maintain clarity, conciseness and correctness of the information and conversation I exchange with the client.
To avoid complexities and confusions, I maintain a single point of communication and ensure clear and effective interaction. The data and information are centralized and easily accessed.
Communication is key so I practice conversation on multiple channels. I utilize Skype, Email, Messengers, and Phone calls to interact with national and international clients. I encourage live meetings, video and audio conference calls, instant messaging and emails. Both written and verbal communication methods are used appropriately as and when required.
Once drawn up, I concisely document the project details, and make it easily accessible for everyone's reference on shared folders or project communication tools if clients insist so that all people involved in the project gain insights in the present state of the project workflow.
I understand that project details and client information are extremely sensitive. I am bound to keep the information within myself, not breaching any privacy policy contract.
I utilize modern project management tools like GitLab, Asana, and Trello to increase work efficiency and accessibility among all client members involved.
Project Management is not at a piece of cake all the time. I also face challenges and issues during the development phase, but my best component is that I immediately inform to the Project Manager and/or client. I work on finding the solution, without wasting any time in shying away and hiring the problems.
I believe that regular review of work is vital to maintain the quality. According to client's convenience and project requirement, I schedule meetings on weekly or monthly basis.
To refer to a prior conversation conversed few weeks back or so, I always believe in documenting everything. My documentation process is inclusive of procedures, feedbacks, and consolidation of all resources to ensure easy sharing and references. Even the emails and skype chats are preserved for any future communication.
After each development phase, I send a project status report to the client to share what has been developed and what’s pending and to know the feedback and any changes if required in between.
